Text Message Templates

Text Message Templates allow you to save time when contacting your candidates via SMS message. Create and save messages that you frequently send, so you can easily reuse them whenever you want. The body of the template can always be edited, if necessary, within the message compose window before the message is sent out.

To manage your Text Message Templates:

  • Expand the Sidebar in the top right corner of the software and click on the Settings icon 
  • Click to expand the Addons & Integrations section and then select Manage Text Messaging Templates


To create a new Template:

  • Click the Create New Template button

  • Enter all details in the panel
    • Give the new Template a Name
    • The Owner will be set as your user by default. You can click the drop-down menu to make a different selection
    • The Activity Type will be set to Text Message Outgoing by default. You can also make a new selection by clicking the drop-down menu
    • Enter the body of your Template. This is what will be sent to your recipient
    • If you want this Template to be shared with all other users on your account, flip the Share With Agency toggle to YES
    • Use the Merge Field drop-down menu to pull in personalized data automatically

  • When complete, click the Save button

You can edit any existing Template by clicking the corresponding pencil icon. Clicking the trash can icon will delete the Template.


To send an SMS message using a Template:

  • Open a Person record
  • Click the SMS icon either next to the mobile number or on the sidebar (Note: the phone number must be set to the Mobile type to enable SMS functionality)

  • Click the Template drop-down menu to select your desired template

  • This will load the Template into the body of the text message. You can edit any text here, if you'd like

  • Click Send

Users can have their ability to create, edit, and delete Text Message Templates restricted. By default, all new and existing users will have their permissions set to "All".

To change Text Message Template permissions:

  • Expand the Sidebar in the top right corner of the software and click on the Settings icon 
  • Click to expand the My Agency section and then select Manage Users
  • All users on the account will populate on the left side of the Manage Users page
  • Click on the edit icon to the right of the person you wish to set Automations permissions for

  • Under the user’s Permissions on the right side of the User Profile, click to expand the Text Messaging section
  • Set the desired permission for creating, editing, and/or deleting Text Message Templates
    • My = this user can create/edit/delete only templates where they are the Owner
    • All = this user can create/edit/delete all templates
    • None = this user cannot create/edit/delete any templates

  • Make sure to click the Save button in the bottom left corner once your changes have been made
